Who is Maydm? A 501c(3), Maydm prepares students from traditionally underrepresented populations to engage in education and experiences in science, technology, engineering, and math (STEM). Our Maydm programs offer opportunities for youth to engage with STEM fields through skills training in science, technology, and engineering. Throughout the year, we provide short-term workshops independently and in partnership with other community organizations. In these sessions, students gain introductory insights into STEM topics and begin growing their interest. Each summer, we also offer multi-week immersive programs where students acquire in-depth knowledge, go on-site visits to local companies, and engage in critical conversations on confidence, belonging, and innovation. Our workforce development program includes internships, career and personal development, community collaborations, and other work-based opportunities for our students. These experiences create opportunities for students who may not otherwise be able to participate in holistic STEM learning and work - so that students can change the face of STEM.


Join Maydm’s small but mighty team and help us inspire the next generation of diverse STEM talent! As our Office Operations Coordinator, you’ll keep Maydm’s office running efficiently while supporting executive priorities and program logistics. In this 25-hour/week hybrid position, you’ll keep our Madison office running smoothly, help coordinate program logistics, and assist with donor and executive projects. We ask that you work on-site one anchor day each week (Wednesdays) plus one additional agreed-upon day; the remaining hours may be remote. This position reports to our Director of Operations.

Schedule & Location

This is a part-time, non-exempt job appointment of 25 hours per week. The typical schedule is weekday business hours, with a hybrid work schedule of 2 days in the office (one of those days must be Wednesday) and other days remote. Occasional weekend and evening work is required for Maydm events and meetings. Maydm is conveniently located on the near East side of Madison, WI.

Requirements

Required

  • 1-2 years of experience in a coordinator or administrative role
  • Strong skills in the areas of organization, attention to detail, time management, ability to manage multiple projects, define and set priorities, and problem-solving.
  • Experience with Google Suite and Microsoft Office/Office 365 suite, including Microsoft Excel, Google Sheets, and Google Forms
  • Ability to handle confidential information with discretion
  • Ability to work in a small, fast-paced, start-up environment
  • Must be able to pass a caregiver criminal background check
  • Must be legally eligible to work in the United States. 


Preferred

  • Passion for equity in STEM education and working with middle- and high-school youth.
  • Experience with fundraising software, social media platforms, and other digital tools relevant to marketing and donor management, including specific proficiency in Bloomerang, Qgiv, and/or Mailchimp.
  • Ability to use AI tools for content generation, or desire/willingness to learn
  • Bilingual (English/Spanish)

Responsibilities

Office Operations and Logistics:

  • Assist students and instructors during Maydm’s open office hours with equipment, supplies, and general support.
  • Review and respond to program and general inquiries received through Maydm’s multiple communications channels.
  • Organize and maintain office and program inventories and identify reorders as needed.
  • Update website information, such as news alerts, new program offerings, updated company information, etc., and other updates.
  • Assist in other projects and duties as assigned.


Executive and Development Support:

  • Assist with calendar and email management for Maydm’s Executive Team. 
  • Prepare meeting materials, presentations, and donor and stakeholder communications.
  • Assist with sending communications to Maydm stakeholders and donors, including reports, emails, and thank you messages.
  • Enter gifts and donor interactions into our data systems, and pull reports.
  • Help plan and coordinate events.


Program and Participant Coordination:

  • Arrange logistics for workshops, summer programs, and site visits.
  • Provide admin support to Program Leads.
  • Collect attendance and feedback data.

Compensation

The salary range for this position is $20-22 per hour, based on demonstrated experience and credentials. Maydm also offers partial benefits to part-time employees, including paid holidays, personal time off, and a flexible, casual, and inclusive work environment.
